The Trustee Board plays a very important part in the management of the Scout Group and is fundamental to the groups success.
What do we do?
The Trustee Board has several responsibilities, particularly around governance of the group. These include…
Manage money well
- Have enough money for now and in the future. This means having a reserves policy and making sure fundraising takes place, if it’s needed.
- Have a budget in place. Trustees then agree how to manage the budget with other volunteer teams.
Follow Scouts policies and relevant legislation
- Follow POR, key policies (including safety and safeguarding), and charity regulations.
- Follow employment law, if staff are employed.
- Create Trustees Annual Report and Statement of Accounts, and get it checked by an appropriate person. If they’re a registered charity, they’ll need to share it with the charity regulator.
- Hold an Annual General Meeting (AGM).
Look after buildings, insurance and property
- Look after records of ownership of property and equipment.
- Have the right insurance for people, buildings, and equipment.
- Make sure buildings and equipment are working well.
Manage risks
- Carry out regular risk assessments and put the right risk mitigations in place.
Help the charity to operate well, today and in the future
- Work with Lead Volunteers to meet their charity aims.
- Champion Our Volunteering Culture, and make sure volunteers are aware of it, reflect on it, commit to it, and apply it in their team
As 1st Buglawton Scout Group is a registered charity, all members of the Trustee Board are Trustees of the charity.
Who are we?
The Trustee Board is made up of people from all walks of life, who volunteer their time. Scouting experience is not a requirement, we are open to all. Some examples of roles include:
- Quartermaster – looks after our equipment to ensure we have everything we need
- Health & Safety – helps manage our risk assessments for our activities
- Social Event Organiser – it would be great to get together more
- Fundraising – everything needs to be paid for and subs don’t cover everything!
- Grant Applications – write or co-ordinate applications for funding.
Ideally there should be at least one parent from each section (beavers, cubs and scouts) on the Trustee Board. This means that we have a good spread of opinion and a reasonable number of volunteers who we can call upon from time to time. We very much believe that many hands make light work and that no one person should ever have to do too much!
Where and when do we meet?
We usually meets quarterly at the Church House Inn, Buglawton.
Meetings are very informal. We enjoy a few drinks, chat about Scouting and plan all the ways we can support the young people in their scouting adventure.
‘A successful trustee board leads to a thriving scout group enjoying exciting activities.’
Can I Help?
Of course you can! The Trustee Board welcomes anyone who has an interest in helping the group. If you would like to be involved but don’t want to work directly with the young people, or feel you don’t have the time or skills to be a Leader/Helper then the Trustee Board is a fantastic way of helping out the group with minimal time commitment.
If you would like to join us, please contact us.
What is the commitment?
We ask that you attend the quarterly meetings as often as you are able, activities can also be done from home. You won’t be signing your life away!
